Education and Outreach Working Group Teleconference

20 May 2016

Summary

EOWG convened for its weekly teleconference which led off with three announcements: First was the Heroes of Accessibility award to WAI for achievement in education about web accessibility. Second was the news of the overwhelmingly positive response from the community for the web perspectives videos - congratulations all! And finally the news that the Accessible UI Components List is complete and launched, please spread the word and encourage submissions. Sharron provided a quick recap of the face to face meeting of last week. On Day 1, May 11 those who had participated in the reported their findings; the group reviewed process and reporting methods for documenting the status of all ; we conducted hands-on work sessions on specific resources as needed. On Day 2, May 12, Annabelle led group through a participatory web site redesign planning session. Web site redesign workshop results were captured on the wiki. Based on those outcomes, James led the group through an exercise to assign tasks and begin to realize the redesign vision. Comments from EO participants who were not there are encouraged.

Next Eric showed an early draft of his update to the resource management tool for RMs to use to document the work they are doing on specific resources. Sharron and Shawn urged everyone to work offline until the tool is complete and not to let that be an impediment to completing your review and recommendations for your resources. In reviewing status of resources that have been designated as High Priority the group learned that:

Shawn then reported on a few other, less high priority resources, Brent updated the expectations for surveys and work for this week, and the meeting adjourned.

Congratulations!

<shawn> https://www.w3.org/WAI/images/2016EducationAward

Shawn: There are two items that need to be recognized. At CSUN WAI was awarded the Heroes of Accessibility for Acheivement in Education. The awards are curated by Knowbility and this onw was for the educational work done by this group so I wanted to share that.
... next was recognition of Perspectives videos and pages. We managed to get those out on Tuesday after round the clock work. Did a bit of outreach, which continues. The reception has been very very positive. We were able to get some analytics and watch traffic.
... also tweets, emails and other response indicating that the community is very pleased with that work. One thing that has been particularly gratifying is the fact that people love the videos but also the supporting information. One called them "tutorials" and talked aobut how to use them in classes. Huge congratulations to Shadi, the TF Brent and Adina, Eric and Kevin behind the scenes and all of EO for your support and participation.

Brent: Important to know that this work is needed, is recognized, and has such a positive part of the community.

Andrew: I showed the videos at a GAAD event and I noted that it was possibly a world premiere. The group was so impressed and really liked the closing message on each of them.

Shawn: Yes the tag line has ended up to be maybe one of the best outcomes.

Andrew: And it was interesting that the tag line got picked up and carried on through the other presentations.

Brent: Great to hear.

Outreach for Perspectives

<Brent> Web Accessibility Perspectives Outreach Plan:https://www.w3.org/WAI/EO/wiki/Showcase_Examples_with_Videos/Outreach_Plan

Brent: Here a link to the outreach page using the basic plan that the group developed a few weeks ago and added to during the F2F. We encourage you to look at this and get ideas and capture your own efforts to document this effort.

Shawn: Some of the discussion from the F2F included a list of W3C and WAI communication channels. Wanted people to see that info is available, linked from the page. If there are some outcomes from the things you did for outreach, would be great to document that.
... I will tweak this page to be easier to do that and welcome to open the floor for ideas about what's next for outreach. Should we do more now or wait until after we finish the review.

Brent: I know James, Caleb, Susan, and Howard worked on that aspect. Can we locate the flip charts from the March F2F and get some of those ideas into play?

Howard: When we met last week in Austin, we have a write-up of what we did and our outreach ideas.

Shawn: Yes those ideas did make it to the wiki, it has been integrated into this page.

Susan: Brent, you were talking about the ideas from March in San Diego - meetups and University groups.

Brent: If you have the flip charts, I will follow up with that.

Susan: I would like to see them too. I did not know about the page on the wiki with all those contacts and past efforts. Now that we are doing RM for all these documents, I would like to know where all the ducks are and get them on the same page. I like the idea you ahd Shawn to capture what we do with them.

Brent: I agree and what I will do is take the brainstorming that we did in march and combine with what you all did last week. James said you worked specifically on outreach for Perspectives but that they could easily be generalized. The timing is good to pullthis together and align all the outreach pages and let RMs know about where they are and how to use them.
... I will take lead on that.

<Caleb> I have a pic of the whiteboard who should I email it to?

Andrew: What we might do next for outreach it looks like with all the languages tweeting about it, it could be great to translate the captions and allow people to choose what language they want.

<yatil> +1 for translations

Shawn: We might promote that as an option for people to consider. The group has still not done the thorough review of the text. Once we complete that, when we have completed the thorough review of the resource, we ask for translation of both.

Brent: The highlight has been promotion of the videos, would just remind us to also promote that supporting content. We have gotten the feedback that the supports are very useful to people and so we should remeber to mention that as well.

Thorough reveiw of video text supports

Brent: At the F2F we worked on the text and had a quick "hives review" but still need to do the thorough review of the text content. Shadi is working on that survey to capture your impressions. Hoping to have that to us today or tomorrow. Will eave it open for two weeks or so. Want the whole group to do a careful consideration of it.
... once that has been done, we will renew the outreach effort.

Howard: Should we not work on getting the translations of the captions first before asking for text support translations?

Andrew: I would not rely upon auto translation for our published information.

Howard: No, I agree but it is a personal option for people to translate text on the page, not so for captions.

Eric: And captions are final while text is not. Could start with caption translation.

Shawn: Should we wait for review before we continue to do promotion? Is that what we decided?

<Susan> I don't think we should hold any promotion for review. Like Brent said some buzz has already been made; don't lose momentum.

Brent: General outreach will continue as the buzz continues from GAAD and things are retweeted. As we work on the thorough review, we can plan in the background, and do another renewed round. Take advantage of this buzz and create a new one in a couple of weeks.
... would want to work with Shadi to plan for the longer term, but not stop doing promotion now.

Shawn: Just so you know that outreach coordinator is my title and role, so Shadi is likely to pass that along to me.

Brent: So we will be making longer term plans, updating the exisitng outreach pages with the new ideas, make sure everyone knows about them to use in their own pages, and coordinate all that with you and Shadi. People will know where to find key information.

Howard: I was going to try to get some bloggers like Terry Thompson and other leaders with large audiences. So we do not need to stop, can proceed with the outreach we are planning, and keep in mind the longer term as part of the planning.

Brent: Yes and we will continue to look for opportunities for the longer term.

Shawn: If we want to refine wording we can but we do not have to do that. We have a collection of ideas that you can point people to with no problem. If you are doing anything more official it would be great to run it by me for hives review.
... I will be off next week but you are always welcome to call me for urgent or timely stuff.

Accessible UI Components list

<yatil> https://www.w3.org/blog/wai-components-gallery/

Eric: Thank you all for your comments, we think it is done in the grand scheme of things. Want to polish around the edges and most importantly, we need your feedback on submission process.
... any comments or feedback is welcome. We have removed drafts, made a stealth launch and aim is to add a few more componenets and announce the week that Shawn is back. Questions?

<yatil> https://www.w3.org/blog/wai-components-gallery/wp-admin/post-new.php?post_type=wai_widgets

Eric: I don't have any particular focus for the feedback to the submission form but we have made a lot of changes to it and so would appreciate your going through it and commenting on clarity and ease of use.

Andrew: Is there any specific design reason why there is 10 on a page with no options to show all or show more in the display?

Eric: The problem is if there were many submitted, it could take a long time to load all. Currently it is 15, we can use any arbitrary number to limit the number displayed. Could display all but maybe wait for another version.

Howard: One bit of wording that struck me odd...I saw CMS or themes and seems that should be reversed.

Eric: And there will be a question in this week's survey.

<Andrew> will be great to release this and publicly invite submissions :)

<Caleb> Looks good!

<shawn> +1 to no new survey questions needed (people can still raise GitHub issues if wanted)

Brent: Thank you Eric, great resource. Many people are looking forward to the release.

F2F Recap

<shawn> F2F pages with link to minutes Face to Face Notes on wiki

Brent: We collected data on a few resources during AccessU and met for two days after that to review the data and make plans for going forward. Wanted to take a minute to bring people up to speed, gathered some data on existing resources at AccessU - not as much as previously, but still useful
... chat with Jim Allen for eg that was very useful
... many were usability professionals > useful stuff
... some reports of usability with interface... new members should look at where they might like to contribute

<shawn> [ Shawn thinks we should let Caleb and Laura get used to the group first ;-)]

<Laura> I don't have an assignment.

<Caleb> Looking now

<Laura> :) thanks Shawn

<Sharron> WAI site redesign plan on wiki

<Susan> Love this chart...

Sharron: Wednesday was spent looking at redesign - brainstorming in morning

<Susan> yes

Sharron: Anna-Belle led us through a prioritising exercise
... lots of stuff captured on flip-charts, and then a gannt chart created [review requested]

<shawn> ACTION: Susan put user feedback from AccessU into https://www.w3.org/WAI/EO/wiki/EOWG_F2F_May_2016#User_Feedback and/or as GitHub issues [recorded in http://www.w3.org/2016/05/20-eo-minutes.html#action01]

<trackbot> Created ACTION-351 - Put user feedback from accessu into https://www.w3.org/wai/eo/wiki/eowg_f2f_may_2016#user_feedback and/or as github issues [on Susan Hewitt - due 2016-05-27].

<shawn> ACTION: Brent put user feedback from AccessU into https://www.w3.org/WAI/EO/wiki/EOWG_F2F_May_2016#User_Feedback and/or as GitHub issues [recorded in http://www.w3.org/2016/05/20-eo-minutes.html#action02]

<trackbot> Created ACTION-352 - Put user feedback from accessu into https://www.w3.org/wai/eo/wiki/eowg_f2f_may_2016#user_feedback and/or as github issues [on Brent Bakken - due 2016-05-27].

<shawn> ACTION: Sharron put user feedback from AccessU into https://www.w3.org/WAI/EO/wiki/EOWG_F2F_May_2016#User_Feedback and/or as GitHub issues [recorded in http://www.w3.org/2016/05/20-eo-minutes.html#action03]

Sharron: Anna-Belle was invaluable in helping us distill our ideas
... felt like valuable team-work
... lots of brainstorms - distilled into final lists
... James then helped us move stuff into a plan approach
... now we should be working on updating our assigned content so ready when we redesign

Eric: wanted to ask about Gantt Chart positions for Policies, Easy Checks, Tutorials

Sharron: had them there as high priority - the Resource Managers for those materials should actively working on them

Eric: RMs need to see what might be coming in for those areas too
... if new framework is n place, then we'll use. Otherwise we'll publish in current framework

Sharron: invites Laura to take a look and discuss with her where to get involved

Shawn: wanted to check with all at F2F about discusison about usablity testing sessions
... early, or address issues we know and do usability testing on prototypes?

Sharron: thinks we intended not to do on current site
... rather on prototypes and limited testing on specific resources

Caleb: agree with Sharron
... can do baseline testing, but probably of little value as we want to move fast

Shawn: agree - baseline testing of little value to us
... have metrics on WAI site now (pwik used - clarify)

Shawn: can get info on dates of access from server logs
... with piwik, no total numbers due to "do not track" in ares

Caleb: thanks - awesome!!

Brent: comments/questions??

website redesign

Sharron: analytics are gathering data
... looking for team to manage it as a project
... we should be concentrating on our resources to they are all up-to-date when the redisign is ready
... Eric will be staff on the project, but as working on lots of stuff Eric should not be lead
... happy to pull out resources if that is more manageable for people -email a requst and I'll send a spreadsheet in the intersim until we can improve the resources management tool

Brent: three aspects - Goals / Audiences / Visual design adjectives

<Brent> Wiki link: Outcomes in wiki

Shawn: opportunity for all - inlc those not present - to still contribute

Sharron: vision - WAI site to be #1 site for accessibility
... will be a survey on goals and direction shortly
... audience is important too - max of 3 primary (all others are secondary)
... doers, planners, advocates suggested as primary
... policy makers dropped to secondary as probably most resources not directly applicable
... design to convey a sense of empowerment, reliable, credible, practical, clear
... those not present, please have a look and feel free to make suggestions
... personas to be developed/tweaked to represent out primary audiences. ... new ones to be developed by end of May.
...devs and designers from Visa to be pulled in to help
... will need to check in with Judy at specific times
... urgent tecnnologies - can't escape them (tools we have to work with - wiki and Github for example)
... longer terms tech issues - CMS, scripting, possibly others
... James helped assign tasks - lead to the google sheet gannt chart
... will fill it in as people take responsibility for part

Brent: thanks sharron

Caleb: not so much urgent technology, as those we will rely on for this

<yatil> +1 caleb

Caleb: need some input from Eric on what might be available / what we might need

Brent: Eric is the tech expert at present

Eric: need to talk about this - what we can do who we'd like to do it
... need to dig in deeper and get it into plan

Shawn: people wanted to jump in quickly to persona development
... existing ones still seem somewhat relevant
... do need updating in some respects

Brent: this was the planning that went on at the F2F - still want input and ideas from those not present (and extra input from those present)
... want everyone to feel included - need lots of 'manpower' to deliver this
... any final questions? Will be some questions to consider on the weekly survey
... thanks Sharron for summary

Sharron: everyone worked really well during the F23F - very productive!!

Resource Management tool

<Andrew> https://www.w3.org/WAI/EO/Drafts/wai-pages

Brent: We want to put some processes in place for this management task, will hand it over to Eric.

<yatil> http://w3c.github.io/wai-resources/

Eric: I am in the RM zone now that we have cleared a few deliverables from the list. So here is a first pass, needs lots of work, looking forward to comments. Wanted you to know I am thinking about it.

Brent: Wanted to let you know that it was in process and remember that you can still be working on your resoruces and encourage you to do that.

Resource Management Update

<yatil> Resource management survey FYI

Shawn: We can all give a quick priority update on our High Priority Resources and get level set.

Brent: We understand how many pressures are coming to bear since CSUN and for example,I have not started on mine.
... so let's get going. Susan can you start us off with your status on the Mobile?

Susan: I don't think we need to rethink the audience, but don't think it needs substantial update.

Shawn: I have gotten feedback (and I made the page) that it is not very good

Andrew: Yes, not enough guidance for apps

Susan: I was not even looking at it from that persepctive. Maybe we should ahve this discussion after all.

Andrew: Yes I have heard from several developersthat this is not very helpful

<shawn> [ I wonder if this should be an agenda item for all of EOWG disucssion coming up ]

Susan: Yes, I am fine with beefing it up in that case.
... can you share with me the background research?

Shawn: It is an important page and originally it filled a gap for people who said, WCAG does not have anything to say about mobile. We mapped wcag to mobile and tried to address that.

<Zakim> shawn, you wanted to comment on personas

<Susan> +1

Sharron: wanted to highlight Eric's idea to check in with Mobile ally task force

<Caleb> Will do

<Zakim> yatil, you wanted to update on Tutorials and to update on Policies

<Laura> Will do also

Brent: and Caleb and Laura and Joy, be sure that if there are items of interest to you jump in to be part of the supporting team.

Eric: There are two high priorities that I am RM. Tutorials status is to revise the Page Structure turtoial, urgent and high effort. Menues, Carousles, etc have received GitHUb comments that need to be addressed.
... as for Policies, Wayne is leading and I need to find what is his preference for the technology to collect informaiton. Both of these are moving along.

Shawn: Additional info: Have been working with Wayne on policies, coming to EO soon, nothing from James on Easy Checks.
... there are also pages that high priority and are not even on the resource list, such as updates to overview and landing pages. Finding Your WAI minor changes.
... Getting Started with WAI resources was a document that Denis and I worked on at the F2F. The IA and naivigation is not sufficinet for lots of the cool new stuff and so we redid this page.

<Zakim> Andrew, you wanted to suggest Shawn's 'other' pages be in WFTW

Shawn: want o mention that the redesign allows for us to make interim changes and we can talk about that later.

Andrew: Comments welcome, agenda will disappear so can we put these on WFTW and maybe even in the survey?

Brent: Shawn, do you want comments in the survey?

Shawn: Yes that will be OK

Brent: While we don't want to spend a lot of update time in the meetings, it supports accountability and if we keep it crisp and brief, should be helpful.

Wrap-Up

Brent: Will have the topics from WFTW in the survey including the redesign and new pages and will have a separate survey for the thorough review of the Perspectives text. Anything else?

Brent: thanks again, so appreciate your support during the Perspectives the work is excellent, wich Shadi could be here to bask in the glory. Thanks again, have a great week-end.
