Introduction

Content notes

  • Outline that these are additional considerations beyond planning for accessibility
  • What does this document provide
  • Worth exploriving Planning sections that are equally application to this activity
    • Exploring your organizational awareness
    • Develop organizational policy
    • Review available resources
    • Procurement and commissioning - although may be more about defining scope of task with any third party as can make it specific to identified barriers
    • Communicating and sharing - although there may be identified barriers left that need to be communicated internally and externally
    • Maintenance and monitoring - although there may be identified barriers left over that need to be rolled over into the next opportunity for fixes. How are these barriers captured? Is this a question for Assessing the situation

Reason for improvements

  • Is this an isolated project geared at improving accessibility, or
  • Are there planned changes or improvements to the site or service and the opportunity is being taken to improve accessibility?
  • Is this part of a regular maintenance cycle?
  • All these will have an impact on the scope and being clear about what is achievable as part of the improvements

Determine scope

Content notes

  • Planning a new site makes the scope relatively obvious
  • For existing site or service more is know about audience and usage
  • Known information can be used to help identify scope
  • Scope will be influenced by the reason for improvement - important to ensure that scope creep is avoided
  • Timescale may be another significant factor, especially if this is part of a wider change programme

Assessing the situation

Content notes

  • Depending on the level of organizational awareness of accessibility, there may already be a list of issues identified
  • Time will be required before scoping to assess the site or service identified in the scope
  • A fixes for a clear list of barriers are relatively easier to plan for
  • Identify existing resources to assist in evaluation process

Prioritizing solutions

Content notes

  • Existing content has is good in this area and broken down into reasonable sections
  • Consider also inclusion of something like MoSCoW to aid in the planning process
  • Consider also an Impact/Effort matrix or graph to help prioritize barriers

Project life cycle

Content notes

  • This is largely dependent on what activities are to take place. For example, is there a design phase, or is this back end changes only?
  • As with the Planning pages, there is a significant amount of content in the Starting with Accessibility document
  • Less emphasis on starting early
  • Easier to plan for as the barriers are known
  • Analysis of solutions may be an important phase
  • Solutions would require assessment as to whether they would address accessibility needs while maintaining the design or funactionality

Building an accessibility team

Content notes

  • Important to understand the wider organization; are there any existing skills available? is there a department that manages accessibility? is there an accessibility champion in place?
  • As in the implementation document there is a need to understand what the current skills and awareness are
  • This will allow for expertise gaps to be identified and filled
  • Training is another important component which can be identified at this stage. Again, if there are already standard training packages then attendees can be identified. Otherwise, external support may be required

Maintenance and monitoring

Content notes

  • What lessons were learned as part of this project?
  • What identified barriers were left unaddressed? - These should be recorded for future maintenance work and incorporated into the public policy statement
  • Are there any changes to processes or procedures that need to be recorded?
