Meeting minutes

Previous Minutes

-> May 21

<SK walking over minutes>

Sebastian: Any comments?

Josh: Do we need to go over the sponsor topic?

Sebastian: Have this as a separate agenda topic

Kaz: BTW, at that time sponsor was about meeting room
… the host

Sebastian: OK
… minutes are approved

Logistics

PlugFest calls

Sebastian: Today we had conflict with profile
… we should avoid that situation
… we can create next call next week
… I am not available next week

Koster: Alternating hosting is fine
… should agree on alternating weeks

Sebastian: 2 weeks from now is Profile call
… September 3
… we should start PF call next week bi-weekly
… regular PF call on September 10

Koster: I will chair next PF call (since Sebastian is not available)

Sebastian: Will check with Ben

Planning webpage

https://www.w3.org/WoT/IG/wiki/Wiki_for_TPAC_2025_planning#Proposed_topics_for_PlugFests

Sebastian: We should start collecting participants and topics
… we also need to discuss "who" we want to invite
… also guests from the community group
… it is good to have non-WG or non-IG members
… should we open the PlugFest for others?

<EgeKorkan> +1 to open to CG participants

<dape> +1

Sebastian: can/should reach out to Japanese people since we are in Kobe

Kaz: PF is part of breakout session
… having community people is nice
… we have a list on bottom of wiki page already
… talk with Echonet this Friday

Sebastian: Do we need a resolution to open PF?

Kaz: Yes
… McCool also wanted to invitde NGSI-LD people as well
… we just need to give the list of invites people to event team
… we need approval beforehand

<sebastian7> proposal: group agrees to invite guests from related SDOs and WoT communities.

RESOLUTION: group agrees to invite guests to the WoT PlugFest from other related SDOs and WoT communities.

Kaz: On GitHub we have a dedicated page as well, see https://github.com/w3c/wot-testing/tree/main/events/plugfest/2025-tpac-kobe

Koster: Keep registration on wiki and move content to GH

<SK moving some content around the proposed topics to GH>

Remote participation

Ege: Remote or in-person event ?

Sebastian: 2 kinds of events
… regular PlugFest
… and there is a Demo session
… I would be open that remote participants can be part of both events
… not sure if feasible

Ege: Person can share screen in case of remote participants

Sebastian: We need to clarify this

Ege: Do they need TPAC registration for just the PlugFest?

Kaz: PlugFest and Breakout are both part of the TPAC event
… in-person they need to pay
… for remote participations we can discuss with the W3C Events Team

Kaz: Rules have changed, and remote participants have to pay (officially)

Sebastian: I am not very happy about that

Kaz: another mechanism like the WoT Week would be nicer for inviting external experts...

Sponsor

Josh: We offered sponsorship
… I have to clarify details
… and what are our responsibilities

Sebastian: Usually we met a couple of days before TPAC
… in another venue/location
… this year we can be at TPAC beginning on Sunday
… Monday to Wednesday there is a room available
… Sunday also

Sebastian: I think we can remove the agenda topic this time

Dates

Sebastian: We start on Sunday Nov 9
… Can we keep hardware in the room?

Kaz: I would assume the PF room would be locked
… will check with event team
… basic plan for Wednesday
… first slot for PF/Demo session
… during the break time and the second slot for removing our hardware ... and give the space to others

Sebastian: I created issue for it

<sebastian7> WoT Plugfest breakout proposal

Sebastian: I propose to remove the "WIP" label to get an official request
… no concerns, label removed

Sebastian: 6 applications so far
… is there an overview on timeslots?

Kaz: Let me see...

<kaz> https://github.com/w3c/tpac2025-breakouts/wiki/Breakout%E2%80%90time%E2%80%90slots

Kaz: Maybe the above link might help

Sebastian: Only 1 hour slots
… not much

Ege: If we need to bring hardware... unmounting everything is annoying
… we should ask for 2 hours

Kaz: Talked with the event team.
… we have a dedicated room. we were originally assuming 30mins to remove all the devices but we actually want 1 whole hour for that purpose. right?

Ege: 8.30 is too early

Sebastian: For Europeans it is a horrible time

Kaz: I can check with the Events Team if needed, but if we want to use the last session for European participants, that would mean we'd keep the room for the whole Wednesday...
… we need to decide whether the first slot works or not

Ege: The last slot would be ideal

Sebastian: I would prefer this as well

Kaz: will try to negotiate if the group really would like to hold our session at the last slot.

Ege: A compromise could be that we occupy space in a corner only
… people can hold breakout anyway

<EgeKorkan> I could hear the end and I am ofc fine with booking the whole day if possible

<sebastian7> proposal: the WoT WG would like to have the breakout room for the PlugFest demonstration the whole day. If this is not possible then the room should be reserved for the morning time.

Kaz: Whole day breakout for WoT might not be acceptable
… suggest to use the last slot
… and ask event team what to do best with the hardware. Probably we need further discussion to clarify our actual need...
