2. Planning: Categories

This question relates to the Planning Categories document. This captures all the sections within the Planning Roadmap resource and activities important to undertake in that phase of the project or programme.

Please consider the high level categories being used; Initiate, Plan, Implement, Monitor. Are there any big gaps? Do the categories work for splitting out planning activities? Is the terminology understandable?

I don't believe there are any gaps between the categories. I think they overlap well. They will work well in splitting out the planning activities. The terminology is a strong part of the document. It is suitable for a wide audience. And words like weaving and momentum fit in well with the project management models such as AGILE, SCRUM etc.

I think that mechanically all of the categories are there. However I am concerned that in many if not most organizations, especially those without regulatory pressure, we may be missing sufficient steps that will result in the important internal marketing / communications strategy focus in order to build the buy-in that will be required to secure all the resources and commitment required.

I like these categories as they are closely aligned to Project Management Professional framework. I think they are comprehensive.

I added my comments in Github Issue #3 https://github.com/w3c/wai-dynamic-planning/issues/3 because I had a screenshot to share. The text of the issue was:

In reviewing the roadmap (btw I agree it's not a roadmap per #2) I was struck by the sheer number of words on the screen. It's sooo many words, I'm concerned that we'll lose users if they have to concentrate that hard before they even get to a specific activity. I suggest we reduce each activity down to about 2 words so they can be skimmed easily and on the sub-pages, give them icons as well. Below, you can see that I modified the activities under Initiate per my suggestion so you can compare their readability/skimmability to the other unmodified items. Below that, you can see how my suggestion could further benefit skimming and choosing over the current wording on the sub-pages.

I think it would be valuable to stress the importance of getting sign off amongst all stakeholders for precise measurement objectives, so everyone will provide the same answer to this question "How will we all know when we've succeeded in meeting or exceeding our accessibility goals?"

I like what is there very much. My chief concern is that, in my experience, for accessibility to be sustainable it has to be part of the larger product plan. So rather than assume the development on a plan for accessibility, in many cases it will be better to only "integrate accessibility into wider" policies, libraries, plans, budgets, strategies... I realize this is touched upon here; however it may deserve amplification.

I wonder about breaking out training? It's mentioned in the assign budget, and perhaps that's enough.

Change "Assign Budget" to "Develop and Assign Budget"

Move "Identifying Important Roles" under "Develop and Assign Budget". A lot of the activities above, such as reviewing sites and resources will help establish what roles are needed and who will own those roles.

This might be more appropriate for when we drill down further, but a mention of User Acceptance Testing (UAT) to incorporate accessibility testing etc., could be useful.

What does everyone think about adding "Give Recognition and Rewards" as an activity to motivate and reward those that are carrying out accessibility efforts. This is key in project management and can create a positive culture and frankly more awareness in general for accessibility development.

In the "Share Experience and Knowledge" activity, can we add the concept of reporting progress back up to leadership? This is key to continue to gain buy-in and continued support since accessibility does not have a "project complete" phase.

Add "Measure Progress Against Objectives" to determine if adequate progress is being made or additional direction or change is required at any stage of implementation.

In the "Identify areas for improvement" activity, add language that takes them to the next step of implementing changes that where identified for improvement. In other words, what are they going to do with what was identified.
