nigel: why isn't automatic captioning on by default?

ralph: text says "establish rules if you enable it"
… it's useful to turn it on
… keep in mind we want people to be able to say things "off the record"
… so ask whether can b saved or not

chris: for COVID, will we have tests provided?

alex: yes

ralph: the zoom tablet device, with the zoom room, you'll be the host
… for other zoom meeting, make sure you have a zoom host available

chris: as we're preparing agendas, is it possible to request any change to the schedule?

alex: yes, but we need to be warned
… so we can adjust rooms

<Zakim> dom, you wanted to ask if zoom rooms be automatically added to the meeting calendars

dom: who and when the zoom info be added to the w3c calendar
… for the breakouts

ralph: I'll need to coordinate with you on that

dom: as chairs, they'll need to know they have that option

Ralph: we'll follow up on that

Alex: I'll send an email later today telling the chairs what kind of information we need from them
… deadline will be september 1st

ACTION: Ralph work with Dom and Events Team on pre-assigning Zoom coordinates and getting those into the calendar

<Zakim> nigel, you wanted to ask how we will know the zoom coordinates to circulate to the WG ahead of TPAC

nigel: we use cisco webex for timed text
… when can I add zoom info?

ralph: we'll take care of that for you

ralph: did we answer all of your questions or can we make ourselves more useful?

phil: yes, it was useful information

peter: +1, thank you for getting us ready

nigel: break/lunch arrangements
… value of tpac is the social/polinization

ralph: some thigns are the same and some are different
… it's hybrid, thus different
… and a global virus situation
… so some of our in-person people are comfortable being there because of our rules
… and expect us all to respect those safety
… thus some said meals should only consumed outdoors
… but we don't have enough space outdoors for seating
… thus the reason for stagging

alex: spirit may not be the same but having all tpac attendees at the same time wasn't a solution
… thus we had to allow more time for breaks/lunches
… for tpac reception, we'll have several space

<Zakim> dom, you wanted to distinguish logistics info/guidance (which should be available somewhere on the web site) from hybrid-facilitation training; to ask about remote-chairing guidance

dom: some is training, but some is required
… splitting the 2 topics could help
… having guidance about remote chairing would help

ralph: if you use your own, just put them. If you leave it blank, we'll put them for you

kris-chapman: I have a11y issues. do we know the height of the tables?

judy: we could find this out and we can raise them if needed

susan: I'll follow up with the hotel

kris-chapman: digital instructions for the zoom devices?

ralph: yes, it will be on the web

kris-chapman: hotels have ruan out of a11y rooms

Susan: I can help with that

Ralph: if you look at the hotel website, it sounds like a marvellous hotel. looking forward for it. but we won't be able to use its full extend due to the virus.

gkellogg: is there room inside for lunches?

susan: we have safe seating indoors and outdoors
… indoors and outdooors will be set for 50% capacity

susan: we have more than 160 registrants onsite so far
… we cannot rearrange the tables and chairs however
… once the rooms are set, leave them like that
