Education and Outreach Working Group Teleconference

Summary

EOWG met for one hour to discuss and make decisions on the following resources in development and those in an edit process for the new web site. The Accessible Media Tutorial is in final processing for comments recieved during previous review and will be offered for consideration of Approval to Publish next week. The ARIA Introduction will now be developed within the new process. The editors will iterate with the review team (and any others who care to jump in.) The Mobile material is being integrated into existing tutorials and we wanted everyone to be prepared for a single-pass approval request on those. Next, Chairs introduced and answered questions about the Google sheet used to track Resource Management and prep for new site. Shawn and James then walked us through the updates to the EOWG style guide and editor and review team guides and instructions. A key point is the need for extreme tersification of nearly all resources. Examples in the style guide are provided to help. Keep in touch with work for the week, continue to focus on resource management and development for new site and have a great weekend. Thanks all!

Accessible Media Tutorial

Judy: We have been working on this since May. The Accessible Media Tutorial is in good shape and we have quite recent updates from the editor Geoff. He had comments to process from EO and AGWG - thanks for those. Most comments have been processed. Based on that, we feel like it is in good shape. Next survey would be the Approval to Publish. Wanted to give EO an opportunity to agree to that or bring any additional issues.

Brent: EO had the opportunity for Thorough Reveiw in June and if you have no objection, we will move along to Approval to Publish next week.

Judy: If you have not received a response to comments, should see those by Monday

ARIA Authoring Guide

Brent: This resource will be developed under our new process - there is a samll review group that will be required to comment but all of EO is welcome to do so. If you have interest, please review this week, make high level comments about direction, tone, approach, etc. Once we have general comments, the additional work will happen in the smaller group - we have only two on the review team and would like to have a few more. Any volunteers?

Sharron: We should put that request on this week's survey to get the people who are not here.

Judy: If you know ARIA that will be especially useful to join review team. Matt King is the editor and has done recent updates based on input from initial look by EOWG and others.. I wanted to flag the fact that he has been experimenting with different titles. His recent title uses the word tutorial, I will remind him of the EO position on the use of that. I invite your to look at this updated approach, the kind of content. Think about how Matt is trying to get people to consider doing ARIA well. Would like people to start looking at this closely, encourage the reviewers to look at this as a fairly stable draft. Thanks to Robert, Amanda, Laura, and Howard for stepping up for the review.

Shawn: Remember that even if you don't know ARIA you can read through on a high level and should not be scared away - if you have interest please look at things like tone, voice, vocabulary, etc.

Brent: Judy, you and Matt will take these initial comments and then will iterate with the review team. Once you have processed to the point where you believe you have a stable final draft, you can bring back to all of EO.

Mobile Material in Tutorial

Brent: Looking at places in the existing tutorials for places to insert mobile examples and illustrations of technique.

Judy: There will be somewhere around six insertions in the tutorials that are already published. Given what we have, editors found places to add mobile references. Will ask for Approval to Publish those fairly soon. Chairs will communicate when those are ready and provide a time frame. Wanted everyone to be prepared for a single-pass approval request on those.

Resource Management and prep for new site

Brent: There is a Google doc to track who is co-editing and who is reviewing existing resources.
... in first sheet in the workbook is Assignments, all resources are listed along with people who are working on them.
... we have asked for people to confirm their assignments, please do that if you have not yet. There is a summary of what needs to be done.
... second sheet "Timelines" is meant to be a place for editors to track their plans and progress.
... it will help us coordinate the large volume of docs that need processing, editing, updating
... last sheet is a list of the ones that have been designated as "ready" for the new site. Reviewers are looking at them for one last pass to be sure they are in fact ready. Vicki has reviewed a few and found that there are often a few things that need to be edited before they are in fact actually ready to go.

James: Issues we are addressing in redesign were visual design, findability, "wall of text" that discouraged exploration. These instructions are really made to help us reduce the wall of text. Eric suggested the Hemingway app to support your efforts. I think it is a great place to start to identify hard-to-read sentences.

James: Start with analysis of what is being presented and what really needs to be explained? Are all examples really necessary? Does all text add to meaning and usefulness? I made some suggestions for guidance and they were posted blazingly fast - thanks Sharron and tersified even more by Shawn. Great teamwork.

Brent: When you are an editor, you may look through the Guide for specific instructions. Those instructions themselves are detailed and hard to keep in your mind while you approach it. This short list was extremely helpful to me to keep those basic goals at the top of my mind.

Shawn: We will be adding editing examples and there will be more of those as we come across them.
... we have come up with a few issues in the plan for language simplification that I will bring to EO plan next week.

Brent: Have also made updates to the style guide

Shawn: In the Editor's Guide there were also other changes. One was reminding people that we are cleaning up for the relaunch, please do that but if there are significant revisions suggested, list those for later iteration. We have planned time later to make revisions that take more effort to develop, review, and get consensus on. Please do record ideas for later revision, e.g., in GitHub with Labels and Milestones - e.g, GitHub example has label "future enhancement" and milestone "Post-Launch Enhancement".

Brent: One of the main goals is tersification and link cleanup and updated technical references.
... if future improvement is needed, put that in the GitHub and tracking sheet, but not try to do that now.

Laura: My inital question is that I am meant to reach out to KrisAnne - how do I get in touch?

Sharron:I will connect you two directly but since your is one of the post-launch update items, it's OK to wait on those projects while focused on higher priority work as reviewer and support.

Laura: can I wait a while to do my editor role since it is low priority and instead concentrate on the hig priority items?

Sharron: Yes, exactly

Brent: Info will be coming from editors to those of you on review teams. Try to be as responsive as possible.
