Meetings/F2F 2014 Q1
From Web Annotation Wiki
< Meetings
The organizers of the I Annotate summit, Hypothesis, have offered that venue for potential collocation with a F2F, and opened up the summit planning to the WG. While it's not an official W3C event, it is useful to collaborate with them.

Considerations
- F2F attendance: 25-30 people
- Conference attendance: 120-150 people, in a table-round configuration
- Hack day attendance: 25-50 people, in a table-round configuration, possible breakout rooms
- Venues at academic institutions (Harvard / MIT) will likely come at significantly reduced rates, and are therefore to be preferred since they’ll free up more budget for travel. If there are other quality venues other than Radcliffe we’re missing, we should add them in now in order to provide maximum flexibility for this tricky calculation of optimum dates.
- We want to particularly avoid theatre style or classroom style seating in order to maintain the more collaborative feel that IA has. Also, we need space to have breakout sessions
- Smaller days can be in different venues
Possible Conflicting Events
- W3C AC Paris 2015: 5–7 May
- CNI / W3Conf (both around Apr 13)
- IDPF
- Memorial Day: 25 May
Catering and Lodging
- Phil Desenne (helping organize)
Funding
Initial funding will come from a joint Sloan/Mellon (25k/25k) proposal, which needs to be finalized by 22 December. The budget from last year was approx 50% travel, 20% venue, 20% food and 10% logistics, internet and media.
Other sponsorships are welcome.
