Policies for Media archiving at W3C

Status of this Document

These are the policies for archiving audio and video resources of W3C proceedings on media.w3.org

• All multimedia (audio or video) produced or published by W3C MUST be accessible at time of posting. W3C's internal multimedia accessibility policy is in place to ensure that W3C's work is accessible to all, including people who are deaf, and to ensure that it meets W3C's own standards*

  Multimedia accessibility is easier than you might think. Don't be afraid. For most W3C video, all you need to do is provide a simple text transcript. Transcripts are cheap and easy (see FAQ on multimedia accessibility).

• Only staff MAY publish to media.w3.org provided they satisfy all requirements.
• Event Attendees MUST be informed the proceedings are being recorded. This SHOULD be done prominently in advance as well as ongoing, signs at the microphones, topic for irc channel, advance email announcement and planning pages as appropriate. Staff submitting a publication request MUST assert in writing such steps were taken in order for it to be archived.
• Open codecs such as Ogg Vorbis and Ogg Theora SHOULD be used. Systems Team can help some with conversion from other codecs.
• Parties who make the recording and therefore the copyright holder are asked to state in writing that they have read and agree to W3C Document License.
• Meta data in file SHOULD include copyright, speaker, license info and link, etc. see example
• Links to other written records such as meeting agenda page, minutes, and so forth should be submitted as well at the same time.
