Responder Ideas for providing guidance on remote meetings?
Kevin White This is fantastic content and I would love to find a way to deliver it through the WAI site as I think that would make it just a little bit more digestible. I do have a couple of issues with doing so though.

This resource speaks more to creating an inclusive online environment. There is certainly synergy with the how to make your presentations accessible to all resource. A challenge is that that resource is positioned with Teach & Advocate as it makes sense to talk about how to present accessibly. I don't know that this resource fits in as well. There is certainly an element of making presentation spaces accessible but it goes a beyond that into making digital work environments accessible.

Another challenge is that many remote meeting platforms are not web applications, but native applications. It isn't clear cut as they are often times both (Zoom). Not sure how we can talk about the accessibility of the remote meeting platform from WCAG perspective in those cases.
Brent Bakken Suggestions for improvement of the draft:
- In section 5.1 - add a bullet about the host requesting attendees do not talk over each other, and to speak slowly and clearly. This will allow for better auto captions or realtime captioning results.
- In section 5.2 - remind attendees to not talk over each other, and to speak slowly and clearly. This will allow for better auto captions or realtime captioning results being used in the meeting.
- Section 6 - (more about inclusion than accessibility, but I think still very important best practice) Far too often, in a hybrid meeting, those using the remote access to participate in the meeting are not engaged or feel like they cannot interrupt the face-to-face attendees. I think it would be good to make a recommendation here that the host of hybrid meetings makes a point to ensure that remote attendees are being included and heard on all meeting topics.

Other Comments:
- Currently don't see the references to our two resources (making presentations accessible and accessible media), will those be added in appropriate places?

- I think it would be a great addition to the WAI site resource "making presentation accessible - During the Presentation (speakers) section" to add some of the content from section 5.1 of this draft document. They have some good things in there that could be included on our resource in that section.
Laura Keen I do think adding guidance on remote meetings would be a valuable resource to include here:
https://www.w3.org/WAI/teach-advocate/ - although Teach & Advocate may need another look from an information architect in regards to sub-navigation organization.

I'm leaning toward the idea of creating a unique resource for Remote meetings based on the thorough external resource that Michelle provided in the GitHub issue (https://github.com/w3c/wai-presentations2all/issues/13). https://www.sigaccess.org/accessible-virtual-conferences/
Andrew Arch First reactions are that the Platform Development section could probably be a W3C Note, but that the Creating Accessible Content section could be better as a WAI resource and anything new integrated into existing resources (eg from the first list in Related Documents above).

The section on Holding Accessible Remote / Hybrid Meetings would also probably be better and more useful as a WAI resource.

Michele Williams #1 - Given remote meetings have different requirements that Venn diagram with in-person considerations, I can see a resource that separates organizer considerations for type of meeting (i.e., remote, in-person, hybrid) from the speaker documentation of creating presentations. Then there are resources organizers can easily point presenters to when they're tapped to present for a meeting, etc.
#2 - Same as above
#3 - I only use these formats when I (as an accessibility specialist) need to answer a very detailed question OR I'm translating these documents into other formats (e.g., a paired down guidance document). W3C documents definitely need to speak to experts and nitty-gritty details and these document usually help with that. However, I would not rely on this to be the "go to" resource to give non-experts and expect them to act upon it without guidance - it will feel too overwhelming even if the information is well-written. So depends on audience and goals (as all UX does).
Vicki Menezes Miller This is a very valuable resource.
I don't see the references mentioned back to WAI (making presentations available and media resources).
I think it would be useful to extract some elements to add to our (afore-mentioned) resources.
The resource covers the tool, the organizer, the audience and only just covers the speakers. I would welcome some more points to cover more fully the speakers and their presentations (elements could be taken from our resources).
Jade Matos Carew This isn't a profound thought at all, but the Making Presentations Accessible resource is really digestible and user friendly, a lot of that content is very similar for remote meetings, certainly the overall format (e.g. overall headings) could easily be copied over and edited. This would ensure that the material has a familiar feel. I think this would be better as a separate resource rather than integrating it into Making Presentations Accessible. I think there should be a focus on holding and hosting the meetings, that's what people will primarily be interested in. This isn't a very useful answer, but I'd be more than happy to get involved in editing the content of that resource.
