FINAL Timeline for Topics 3 & 4 on 19 Nov & 3 Dec

Planning Timeline TC4R Dates E2R Dates Notes
draft symposium page (and pre-call if doing) & approve with RDWG done: April early August
announce pre-notification of call for papers done 12 June n/a (For E2R, by the time the symposium page is drafted and approved, it will be time for the main CfP, so no pre-call)
finalize symposium page and CfP & approve with RDWG Wed 15 August Wed 29 August
- 13+ weeks - announce call for papers; scientific committee (SC) confirmed 16 or 20 August asap

and do one or two reminders in Sept.
(also remind Chairs & SC to schedule time for review in Sept!)

- x weeks - deadline for paper submissions; SC start review Mon 24 Sept Fri 12 Oct

Chairs do a preliminary skim of all submissions right away to determine which ones are candidates for TC4R, then review and discuss those first — can have later dates for review and discussion of the E2R papers.

tc4r:
Tue 25-Wed 26 (2 days) chairs triage
Wed 27-Thur 4 Oct (7 days) for reviews

- x weeks - deadline for reviewers comments; start discussion among SC Thur 4 Oct Fri 19 Oct

tc4r:
Fri 5-Thur 11 (7 days) for chairs review & discussion

- x weeks - send rejects, provisional accepts, and invitations to edit & resubmit Thur 11 Oct
- x weeks - send paper authors feedback, start of rebuttal period n/a Fri 26 Oct
- x weeks - end of rebuttal period, discuss final paper selection n/a Tue 30 Oct
- x weeks - send paper notice of accepted papers, with revision requests (done earlier) Fri 2 Nov
- x weeks - final papers due Tue 23 Oct
- 3 weeks - deadline for final papers; announce program announce program ? Mon 12 Nov ? do we want to announce the program before the registration is open?
- 2 weeks - publication of accepted papers; registration opens Mon 5 Nov Tue 20 Nov (for E2R, 19 Nov would be 2 weeks, but that is the TC4R symposium date, so do E2R the day after to limit confusion and Shadi workload!)
Day X - teleconference symposium Mon 19 Nov Mon 3 Dec

3 Dec is International Day of Persons with Disabilities

For Consideration

  • [not good] Monday 5 Nov is Unity day in Russia. is right after TPAC.
  • [not an option] Monday 12 Nov is a "bank holiday" in US (Veterans Day observed)
  • [probably OK] Monday 19 Nov is close to a big take-off "bank holiday" in the US (Thanksgiving on 22 Nov), but probably OK. is Discovery Day in Puerto Rico.
  • [not good] Monday 26 Nov is close to a big take-off "bank holiday" in the US (Thanksgiving on 22 Nov) - most people will be back but likely would miss an early telecon. Shadi might be on the road.
  • [not an issue] 28-30 Nov is OzeWAI
  • [good - unless Shadi is on the road] Monday 3 December is International Day of Persons with Disabilities and probably good to tie into
Monday 3 December - found no other significant holidays. Shadi might be on the road.
  • [probably good] Monday 10 December is Human Rights Day 2012 and probably good to tie into
Monday 10 December - is Constitution Day in Thailand
  • [maybe not good] Monday 17 December - found no significant holidays, but close to end-of-year holidays

-13+ weeks - announce call for papers; scientific committee (SC) confirmed 20 August 20 August

and do one or two reminders in early Sept.
(also remind SC to schedule time for review in Sept!)

- 9 weeks - deadline for paper submissions; SC start review 17 Sept 17 Sept 3 weeks instead of 2 for reviewing all submissions and extra discussion on which papers to put in which of the 2 symposia - so dates above moved a week earlier.
{Some would like to move this to 23 Sept; however, that depends on availability of Chairs for triage review 24-26 Sept. If so, that would also shorten the time for reviewers, discussion, rebuttal, and revision — moving the following few dates later.}
- 7.5 weeks - deadline for reviewers comments; start discussion among SC 26 Sept 26 Sept A small group could do a preliminary skim of all submissions right away to determine which ones are candidates for TC4R, then review and discuss those first — then have later dates for review and discussion of the E2R papers.
- 6 weeks - send paper authors feedback, start of rebuttal period 8 Oct 8 Oct - 22 Oct E2R could be 8 Oct to match TC4R, or could be as late as 22 Oct
- 3 weeks - deadline for final papers; announce program 29 Oct 29 Oct - 12 Nov (E2R depends on when set previous date - probably have different deadlines for TC4F and E2R for people who have papers in both)
- 2 weeks - publication of accepted papers; registration opens 5 Nov 20 Nov (for E2R, 19 Nov would be 2-weeka, but that is the TC4R symposium, so set E2R the week before or day after - probably the day after to limit confusion)
Day X - teleconference symposium Mon 19 Nov Mon 3 Dec

3 Dec is International Day of Persons with Disabilities

Is 17 Dec too close to holidays? If so, then it pushes out to 7 Jan.

OLD Draft Timeline for Topics 3 & 4 on 5 Nov & 3 Dec

NOTE: This is probably not wise given the CfP goes out in August, during heavy vacation time -- and also, probably cannot get the CfPs both done by then.
